The red X could be because the UI has just lost connection to the file server. On the UI, click File->Exit. Then restart the UI from your Comet Services folder. It's called FileSrvUI.exe. You can do this while users are connected. It won't affect them.
Each file can be a maximum of 1MB in length Uploaded files will be purged from the server on a regular basis.
